If you are living abroad and unable to personally visit the bank, you can authorize a trusted person in India through a Power of Attorney (POA) to collect your property documents on your behalf. This blog explains the step-by-step process and timeline for creating a valid POA abroad and using it in India to complete loan closure formalities.
Once you receive the loan closure letter from the bank, you should write an email informing them that you are residing abroad and wish to authorize a representative in India, through a Power of Attorney (POA), to collect your property documents on your behalf. The bank will then schedule an appointment for document collection and send you a draft POA format (usually in Word format). Typically, banks provide an appointment within 15 working days.
Example: If the bank sends an appointment confirmation on August 1st, the document collection date would be August 16th.
Even if you miss this date, banks generally allow an additional 30 working days as a buffer. This flexibility is helpful, as obtaining and sending the POA from abroad can take longer than 15 days.
STEP-BY-STEP PROCESS OF EXECUTING A POWER OF ATTORNEY FROM ABROAD
Day 1: Receiving POA Format from Bank
The bank emails a draft POA in Word format.
You need to fill in personal details such as:
- Name
- Age
- Father’s/Spouse’s Name
- Residential Address
- Loan Account Number
- Property Schedule
Print the draft POA.
Affix your passport-size photo.
Day 2 – 6: Notary Appointment Abroad
- Book an appointment with your country’s Notary Public.
- In most countries, same-day appointments are possible. However, in the USA and many European countries, appointments must be scheduled 3–7 days in advance.
- On the appointment day, sign the POA in front of the Notary, who will then attest and seal the document.
After notarization, courier the following documents to India:
- POA (original notarized document)
- Two sets of self-attested ID proofs (Passport/OCI and PAN) – one set for the District Registrar’s Office and one for the bank.
Courier Timeline:
- DHL/FedEx: 5–7 business days
- Other shipping services: 10–15 working days
For safety, consider 10 working days for delivery (Day 6 → Day 16).
Day 16: Arrival of POA Package in India
Once the POA arrives:
- The POA holder (your authorized person in India) affixes their passport-size photo and signs the POA.
- Prepare a request letter for POA adjudication. Refer to SampleRequest Letter below

Day 17: Adjudication at the District Registrar’s Office (DRO)
The POA holder submits the following at the DRO:
- Original POA (sent from abroad)
- Self-attested ID proofs (of the executant)
- Request letter
- POA holder’s ID proofs
The DRO verifies the documents and requests payment of stamp duty.
In Karnataka: Pay Rs.500 via the Khajane-2 website and submit the challan at the DRO.
Day 18: Collecting Property Documents from Bank
After adjudication, the POA is sealed and signed by the DRO.
The POA holder can now visit the bank with:
- Original adjudicated POA
- Self-attested ID proofs (of both executant and POA holder)
The bank verifies the documents and hands over:
- Original property documents
- Discharge Deed / Reconveyance Deed (required to remove the home loan lien at the Sub-Registrar’s Office)
